Events Assistant
Overview:
We’re looking for a detail-oriented, proactive Events Assistant to provide logistical, administrative, and on-the-ground support to the Events Director. You’ll play a key role in ensuring our events run smoothly from start to finish—handling everything from pre-event registration to post-event wrap-up.
Key Responsibilities:
Pre-Event Preparation & Registration:
· Track event registrations and maintain accurate attendance records.
· Assist members with login issues and registration inquiries.
· Prepare event materials, including name tags, attendee lists, and run-of-show documents.
· Register staff and VIPs for all events.
· Organize and pack event essentials: signage, tablecloths, drink tickets, flyers, and other materials.
· Conduct site visits as needed to support event planning and logistics.
On-Site Event Support:
· Attend and support events from setup to breakdown.
· Greet and check in guests, distribute name tags, and provide a welcoming atmosphere.
· Assist with venue setup, including arranging tables, chairs, and signage.
· Help manage guest flow and support event programming.
· Tear down event materials and ensure the space is returned to its original condition.
· Assist with grand openings and special ceremonies as needed.
Client, Vendor & Guest Relations:
· Communicate professionally with event attendees, clients, and vendors.
· Provide prompt and friendly customer service during every stage of the event process.
Administrative Support:
· Send calendar invitations for upcoming events.
· Order and maintain event supplies.
· Coordinate and set up food and beverages for meetings.
· Support the Events Director with day-to-day administrative needs and special projects.
Requirements:
· Must have a highly flexible schedule with availability for morning, afternoon, and evening events.
· Strong organizational skills with excellent attention to detail.
· Friendly, professional demeanor and strong interpersonal communication skills.
· Ability to lift and carry event materials (boxes, banners, etc.) and stand for extended periods.
· Familiarity with the Dunwoody – Sandy Springs – Perimeter area.
