Receptionist
The Atlanta, GA office of Burr & Forman LLP seeks a receptionist to work 8:30 am to 5:00 pm Monday through Friday. KEY CONTRIBUTIONS
- Handle all front desk receptionist duties including answering multiple phone lines, screening and directing incoming calls, greeting and welcoming clients and visitors, and directing guests to appropriate destinations
- Schedule conference room meetings, manage conference room calendars, and maintain reception area and conference room appearances
- Coordinate orders such as catering for meetings, monthly birthday celebrations, and flowers and gifts for special occasions
- Coordinate Lunchbox program for the Atlanta office
- Receive and distribute mail and hand deliveries
- Keep track of and order office supplies
- Submit requests for office maintenance and repair
- Assist attorneys and team members with preparation of meetings, hearings, depositions, and trial
- Enter and/or edit time and billing of attorneys and other timekeepers
- Enter and/or edit expenses of attorneys; organize receipts and prepare expense reports and requests for reimbursement
- Scan and label documents into the firm’s document management system
- Open and close client matters
- Assist with other administrative functions, including but not limited to preparing routine letters, memos, and spreadsheets; mailings; proofreading; and organizing client documents and files
- Other essential duties as assigned
- A high school diploma or equivalent and relevant office experience are required; a college degree is preferred
- Previous work experience in an office setting is required
- Punctuality, professional image, and pleasant, professional telephone voice are a must
- Strong verbal and written communication skills and attention to detail
- Proficiency in MS Word and Outlook are required; proficiency in MS Excel is a plus
- Highly organized, detail-oriented, and proactive, with a desire to take ownership as a contributing member of the team
- Balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations
